Limit the number of emails to a Pardot prospect

Learning how to limit the number of emails to a Pardot prospect is crucial in preventing burnout and maintaining engagement with your audience. In this article, we will guide you through the process of setting up a dynamic suppression list in Pardot, which will help you manage your email frequency effectively. By following our step-by-step instructions, you will be able to create a tailored set of rules that ensure your prospects receive the right amount of communication without overwhelming them.

Accessing the Automations Tab

The first step is to click on the Automations tab in the primary menu.

Selecting Segmentation Lists

From the side menu choose Segmentation Lists.

Adding a New List

Now click on the blue + Add List button.

Naming and Setting Dynamic List

Enter the name for your list and place it in an appropriate folder. For this type of list we want to create a dynamic list, so check the appropriate box and move to the next step.

Creating the Email Limit Rule

Now you need to set the rule for your dynamic list. For the match type, select the Match Type choose Match All. Then for your first rule you want to choose from the drop down Prospect has been mailed. Then choose how many times in a given number of days you want to set the rule for. In this example, we will choose 3 times in the last 10 days. This means if they have been email 3 or more times in the previous 10 days they will be added to our suppression list.

Adding an Email Opens Rule

We may be interested not as much if they have been mailed, but also if they have opened any email in that 10 day period. To ensure that they have opened at least one of these emails before they are added to the suppression list, add an additional rule from the drop down Prospect email opens. For this example, we have set the rule to be that if they have opened any email in the last 5 days then the rule applies.

Note, that because we have used Match All for the Match Type, both rules will need to apply before they are added to the suppression list.

Previewing and Running Rules

Once you have set up the rules, you can either Preview the rule to see what type of prospects would be added to it, or your can Run Rules if you are ready to add people to the list.

In conclusion, knowing how to limit the number of emails to a Pardot prospect is an essential skill for any marketer who wants to maintain a healthy relationship with their audience. By implementing the dynamic suppression list outlined in this article, you can effectively manage your email frequency and avoid overwhelming your prospects. This not only helps maintain your audience’s interest but also contributes to the overall success of your marketing campaigns, ultimately leading to higher engagement, better conversion rates, and stronger business growth.
